Feature Friday: The Comprehensive Applicant File

hyrell_blogimage_applicantfileAs a hiring manager or small business owner, you know that staying organized can be a key component of success. We all strive to write out to-do lists, save paperwork in color coded files, and mark each important date on our calendars. But sometimes, staying organized is a lofty and unattainable goal rather than a day-to-day reality. Important notes get lost in the shuffle, paperwork gets misfiled, and hastily scheduled meetings end up falling through the cracks of your calendar.

Within the hiring process, the need for organization becomes even more apparent. Applicant resumes can pour in to your office at an overwhelming rate, and before long your carefully organized process can go out the window.

However, all hope is not lost. With Hyrell, the Applicant File becomes the epicenter of all information related to each individual candidate, and your once unattainable organization goals are achieved with ease.

In Hyrell, an electronic Applicant File is instantly created when someone applies to one of your posted positions. Within the file, you can automatically see all relevant information concerning the applicant, including:

  • Basic Contact Information
  • Digitally Uploaded Resume
  • List of References with Accompanied Contact Information
  • Pre-Evaluation Scores
  • Additional Assessment Test Scores

Additionally, all applicants who have applied to a specific position will be saved with that position, so you can easily compare their files and/or scores.

As you work to process your applicants, the file grows to include all relevant information and points of contact. Within the Applicant File, you can send and review messages sent to/from the applicant or messages sent to/from other users of your hiring system (no more wondering if your colleague found time to fire off that follow-up email!) Likewise, if you contact references or former employers, all interaction will be logged and stored within the file.

As the applicant progresses through the hiring process, your hiring system helps you schedule interviews, which helps eliminate “telephone and email tag” and save valuable time. When you are ready to schedule an interview with an applicant, you can select your available times and dates, and the system will offer these times to the applicant via email.  Again, all of this information is stored and can be later accessed from within the applicant file to save you time, frustration, and potential hiring headaches.

Finally, all areas of the applicant file include a “Notes” section which allows you to log your thoughts and opinions and share them with other hiring managers. This type of open communication and continual tracking of interactions promotes easy collaboration and simplified hiring for everyone involved.

Overall, the concept of organizing all relevant information in one place can be easier said than done with most traditional hiring processes. But with Hyrell, and the comprehensive Applicant File, blissful organization can be easily attained.
